This functionality is only available to Admin Users

You can edit the cover letters that are printed each time the parent reports are generated. (Although users can choose to NOT print cover letters when running the parent reports). Changes to the parent cover letters are district-wide, but specific to grade level. In other words changes made to the Kindergarten cover letter affect ALL kindergarten parent reports, but not First or Second grade, etc.

To edit the parent cover letters, click Settings from the main menu, then Edit Parent Letter and the following screen will appear:

You'll notice there is a checkbox that reads "Use District Benchmarks". If that checkbox is checked, when your users print Parent Summary/Reports you'll be comparing each student to benchmarks to determine whether or not the student is "developed" overall on the TPRI or not. For more information about District Benchmarks, click here. If you want to have users print Parent Summary/Reports as usual, then make sure this checkbox is unchecked.

Click the letter you want to edit, then click the Edit button (or you can view the current letter by clicking the Preview button). If you click edit, you'll see the screen below (if the Use District Benchmarks checkbox is unchecked):

If the Use District Benchmarks checkbox is checked, you'll see this screen:

Just type in what you want for the cover letter. Please note that you'll need to use two spaces (Enter twice) for each place you want one space vertically. For example, if I wanted the output of the parent letter to look like this:

This is a sample sentence.

This is 2 lines below.
This is the next line.

then I would enter it into the edit form like this:

This is a sample sentence.


This is 2 lines below.

This is the next line.


This requirement is due to a restriction in the way HTML is converted over to the actual reporting mechanism.

Depending on whether or not the Use District Benchmarks checkbox is checked or not, you can change the Parent Footer text (located in the smaller pane below the cover letter) or the text for when the student is Developed and Still Developing (according to district benchmarks).

When editing the Footer Text (and you're not using the district benchmarks option) anything that you enter here will appear at the bottom of the actual parent report (not the cover letter). If you don't want anything to appear at the bottom of each student report that goes to parents, just remove all text from this box.

If you are using district benchmarks, you'll need to enter the text you want displayed when the student is developed overall and separate text for when the student is still developing overall.

Each grade level has it's own cover letter, footer text, and (if using district benchmarks), its own "developed" message and "still developing" message.

When you choose to Preview the letter, the letter will appear as it will when it is printed (see below):

Remember that the changes to the parent cover letters are global, meaning that if you change it, that change is instantly reflected to anyone printing a parent cover letter, anywhere in the district.

The initial letters are not intended to be used and merely serve as a sample for what your district might want to include. You may notice that there is an English AND Spanish cover letter (and report footer) for each grade level. If a student has a home language code of "01" (Spanish), then an additional cover letter and parent report are printed for that student, one in English and one in Spanish.
